If you’re a service provider, you know how overwhelming it can feel to manage client work, admin tasks, and your own business growth—all while trying to have a life. But the good news? You don’t need to work longer hours to get everything done. You just need a better system.
By implementing a 30-minute weekly planning routine, you can take control of your schedule, eliminate decision fatigue, and actually feel productive.
This post walks you through my 3-step weekly planning system that will help you:
✅ Stop feeling like you’re always behind
✅ Prioritize the tasks that actually move your business forward
✅ End your workday knowing you got the most important things done
Step 1: Brain Dump Everything
Before you start planning, you need to clear the mental clutter. Instead of keeping everything floating around in your head, get it all out in one place. Here’s how to do it.
- Write down every task, idea, and to-do, whether it’s client work, business growth tasks, or personal errands.
- Use my weekly planning template, a paper planner or a project management tool like Teamwork.com or Notion.
- Don’t filter—just get everything down!

Step 2: Prioritize with the Rule of 3
Not all tasks are created equal. If you’re staring at a never-ending to-do list, it’s time to simplify with the Rule of 3.
How it works:
- Identify 3 key priorities for the week that will actually drive your business forward.
- Break those down into daily action steps.
- Stop letting minor admin tasks take over your schedule.
If you are unsure whether something is high-impact or low-impact, I have added some below.
✅ High-impact: Creating a lead magnet, following up with potential clients, optimizing a sales page.
❌ Low-impact: Checking emails all day, tweaking website colors, fixing minor tech issues.
By focusing on the right things, you’ll make real progress instead of just staying busy.
Step 3: Time-Block Your Week
Instead of reacting to tasks as they come up, assign specific blocks of time in your calendar for different types of work.
How to do it:
✅ Block personal time first (so your life doesn’t get pushed aside).
✅ Schedule deep work time for high-impact tasks.
✅ Include buffer time for unexpected interruptions.
✅ Group similar tasks together to avoid context switching (e.g., all client calls on the same day).
Time-blocking protects your focus and ensures that every part of your business gets attention.
