How to Systemize Your Business in 30 Days

“I don’t have time to build systems.”

I hear this constantly. And I get it…you’re already working full days.

However, here’s the thing: You’re already spending hours every week doing tasks that should be systematized. Manually sending the same emails. Recreating the same documents. Searching for files.

That time? That’s where your systems get built.

After building systems for 350+ service-based business owners, I can tell you systemizing your business doesn’t take months. It takes 30 days if you’re strategic.

Here’s the roadmap.


Week 1: Figure Out What’s Broken

Days 1-2: Track everything

Write down every task you do for two full days. Client emails, admin work, project tasks, all of it.

You need to see where your time is actually going.

Days 3-4: Find what’s repetitive

Look at your list. What are you doing over and over?

Common culprits: sending contracts, onboarding clients, status updates, creating invoices.

Days 5-7: Pick one thing to fix

Don’t try to fix everything. Pick the most painful problem.

For most people, it’s either client onboarding or project tracking.


Week 2: Build Your Client System

Days 8-9: Pick your tool

I use Notion. You might prefer Teamwork.com or a spreadsheet. Pick one and commit.

Days 10-12: Set up a simple database

Create fields for:

  • Client name
  • Email
  • Service type
  • Status (inquiry, active, completed)
  • Payment status

That’s it. Don’t overcomplicate it.

Days 13-14: Add your current clients

Move everyone into the system. Takes 1-2 hours max.

From now on, every new client goes here.


Week 3: Stop Sending the Same Emails

Days 15-16: Find your most-sent emails

Check your sent folder. What are you sending repeatedly?

Examples: inquiry responses, contract follow-ups, project updates.

Days 17-19: Turn them into templates

Write them once. Save as templates.

If you use Gmail, create Canned Responses. If you use Flodesk, create sequences.

Write them in your voice. Templates shouldn’t sound robotic.

Days 20-21: Automate one thing

Start simple—like a welcome email that sends when a client pays.

You don’t need to automate everything. Just one thing.


Week 4: Create Project Templates

Days 22-23: Document your process

Pick one service. Write down every step from start to finish.

Example for coaching: Kickoff call → Week 1 session → Week 2 session → Check-in email → Final session → Offboarding.

Days 24-26: Make it a template

Put it in your project tool (Notion, Teamwork, Asana). Add tasks, timelines, deliverables.

Now when a new client signs, duplicate the template instead of starting from scratch.

Days 27-28: Test it

Use it with your next client. See what works. Refine as you go.

Days 29-30: Review

You just systemized your business in 30 days.

You now have:

  • Client management system ✓
  • Automated communication ✓
  • Project delivery template ✓

Everything else builds on this.


What Actually Changes

After 30 days, you’ll have freed up hours every week. Hours you were spending on repetitive tasks.

Additionally, your business will feel calmer. Nothing falls through the cracks. You know where everything is.

From here, keep refining. Add more automations. Build more templates.

However, the hard part is done.


The Biggest Mistake

Trying to build the perfect system before you use it.

Don’t. Build something simple. Use it. Refine based on what actually happens.

Your systems will never be perfect. But they’ll be infinitely better than winging it.
